How to Sync Instagram Bookings With Google Calendar
Syncing Instagram bookings with Google Calendar is a one-time connection. Inside Viralyze you link your Google account, pick which calendars should block slots on your booking page, and pick the calendar where confirmed bookings are written. From then on the sync is two-way: a meeting you add in Google removes that slot from the page, and a booking from Instagram appears in Google with the client invited and, for online formats, a Google Meet link attached.
This guide walks through the setup and the choices that catch people out.
How does two-way sync actually work?
Two-way means both directions update each other. Direction one: your booking page reads your Google Calendar for busy events and hides those times. Direction two: when a client books, the tool creates an event in the calendar you chose.
The reading side also respects buffers you set between appointments and days off, including partial days like "after 2 PM" and date ranges for holidays. So the page never offers a slot your calendar cannot honour.
Step by step: connecting Google Calendar
1. In Viralyze, open bookings and tap connect Google Calendar. Sign in with Google on Google's own screen. 2. Choose the calendars that block availability. A tutor might select "Work" and "Family" so a school pickup blocks a slot, but leave "Birthdays" unticked. 3. Choose the destination calendar for new bookings, usually "Work". 4. Set buffers, for example 10 minutes after each session, and mark days off. 5. Build your service menu with formats: Google Meet for online classes, in person for home visits. 6. Share the booking page in your bio and attach it to a keyword automation such as CLASS.
A client who comments CLASS gets the page by DM, books a Tuesday 6 PM online session, and the event appears in "Work" with the client's email invited and a Meet link inside.
Which calendars should block slots?
Every calendar that represents time you cannot sell. Common mistakes are leaving a shared family calendar unticked, so a dentist appointment does not block, or ticking a holidays calendar full of all-day events that block whole days you planned to work.
Review the list once, then trust it. You can change it any time, and the page updates.
What the client gets from the sync
The calendar invite arrives in their inbox from Google, with the time, the format and the Meet link for online sessions. Their confirmation page also offers add-to-calendar for people who prefer a different calendar app.
If they reschedule from the confirmation page, the Google event moves. If they cancel within the window you allow, the event is removed and the slot reopens. A WhatsApp reminder goes out before the session regardless.
Running several formats from one calendar
Formats do not need separate calendars. A nutrition coach can offer in-person consultations at her clinic, Google Meet follow-ups and WhatsApp call check-ins from one booking page. Each service carries its own format, duration and price, and all of them write to the same destination calendar with the format noted in the event.
The only reason to use separate calendars is if different people need to see different bookings, for example a clinic with two practitioners.
Frequently asked questions
**Does the sync need Google Workspace, or does a free Gmail account work?** A free Google account works. Google Meet links are created on it the same way.
**Will my personal events be visible to clients?** No. The booking page only hides the times; the event titles and details never leave your calendar.
**What if I disconnect Google Calendar later?** Existing events stay in Google. The booking page stops checking busy times, so reconnect before taking new bookings.
