How to Stop Double Bookings Using Google Calendar

19 October 2026

Double bookings happen when two systems think the same hour is free. The fix is to let one system decide: Google Calendar. Every commitment goes in as a busy event, and your booking page reads that calendar before it offers a slot. Viralyze does this with two-way sync, respects buffers and days off, and confirms a slot only when the client has paid, so two people cannot hold the same time with a half-finished booking.

Below are the five causes of clashes and the setting that removes each one.

Why do double bookings keep happening?

Usually because bookings arrive from more than one place: DMs, phone calls, a bio link, walk-ins. Each one is written down somewhere different, and nobody checks the others before saying yes.

The second cause is memory. "I'll add it to the calendar later" is how a Thursday 5 PM gets promised twice. A page that reads the calendar live has no "later".

Fix 1: one calendar, every commitment

Put everything in Google Calendar, including things that are not client work. A school run, a dentist appointment, a shoot for your next reel. In Viralyze, tick every calendar that represents unavailable time so the booking page hides those slots.

A wedding makeup artist might keep "Clients", "Trials" and "Personal" calendars and tick all three. A trial on Saturday morning then blocks a bridal booking at the same time automatically.

Fix 2: buffers between sessions

Back-to-back is a double booking waiting to happen when the first session overruns. Set a buffer, for example 15 minutes, and the page will not offer a slot that starts inside it.

Buffers also give you travel time for in-person formats. If you do home visits and studio sessions, a 30-minute buffer covers the drive.

Fix 3: days off that match reality

Mark single dates, partial days like "after 2 PM", and date ranges for holidays. The page respects all three. A partial day is the one most people forget: you are free in the morning but have a family event in the evening, and without "after 2 PM" blocked, a 5 PM slot appears.

Fix 4: does confirming on payment help?

Yes, because an unpaid "hold" is a double booking in disguise. If two clients each ask for Tuesday 4 PM by DM and you say "sure, pay to confirm" to both, one will be disappointed.

With payment upfront on the booking page, the slot is confirmed the moment the first payment succeeds and vanishes for everyone else. The second client sees the next free time instead.

Fix 5: stop taking bookings outside the page

Each manual booking is a chance to forget the calendar. Send everyone to the same page.

1. Add the booking link to your bio with a clear title. 2. Set a keyword automation like SLOT on any post so reel viewers get the page by Auto-DM. 3. When someone asks for a time in DMs, reply from the Inbox with the page link rather than a time. 4. For phone requests, book on their behalf through the page while they are on the call. 5. Review Google Calendar each evening; anything not there does not exist.

After a few weeks, the page becomes the habit for you and your clients, and the clashes stop.

Frequently asked questions

**What if I add an event in Google after a client already booked that time?** The existing booking stays; Google shows both. Reschedule the client from the Inbox or move your own event. The sync prevents new clashes, not ones you create by hand.

**Can two team members share one booking page?** A single page works best for one calendar owner. For a two-person clinic, separate pages with separate destination calendars keep slots clean.

**Do all-day events block the whole day?** Yes, if they are marked busy. Mark optional all-day items as free in Google so they do not block.

Start your 7-day free trial of Viralyze, no card needed, and let Google Calendar decide which slots your clients can book.
