How to Let Clients Reschedule Without Messaging You

19 October 2026

"Can we do 5 instead of 4?" is a message you should never have to answer by hand. Client self reschedule booking means the client opens their confirmation page, picks another free slot, and the event moves on your Google Calendar. Viralyze includes this on every booking, inside whatever window you set, so the only reschedules that reach you are the ones outside the rules. Here is how it works and how to set the window so it does not become a loophole.

What does the client actually do?

The client opens the confirmation page they received after booking, taps reschedule, and chooses from the slots that are currently free on your booking link. The booking moves, the Google Calendar event updates, and the client's invite updates with it.

No payment is taken again and no refund is issued; the paid booking simply moves to a new time. For a Google Meet session, the Meet link stays with the event.

Should rescheduling have the same cut-off as cancellation?

Usually yes, because the problem is the same: a slot freed too late cannot be refilled. In Viralyze you decide whether clients can cancel and until when, and the same cut-off governs self-rescheduling.

A voice coach offering 45-minute lessons at ₹1,000, for example, allows changes until 12 hours before. A student who wants to move Thursday's lesson on Tuesday can do it alone; one who asks at 8 AM for a 10 AM lesson sees no reschedule option and has to ask, which keeps that decision with the coach.

How do you set it up?

Rescheduling comes with bookings; you only set the rule.

1. Open the booking settings in Viralyze and allow clients to cancel or change their booking themselves. 2. Set the cut-off before the session. 3. Make sure Google Calendar is connected with the right calendars blocking slots, so the reschedule options are accurate. 4. Mention the rule in the service description, for example "Reschedule free until 12 hours before."

Test it by booking a slot on your own link and moving it from the confirmation page; the event should jump on your calendar.

Does rescheduling respect buffers and days off?

Yes. The reschedule picker shows exactly what a fresh booking would show: free times from your connected calendars, minus buffers, days off and partial-day rules. A client cannot move into your lunch block or onto a blocked holiday.

If you later move the event yourself in Google Calendar, two-way sync carries that change to the booking and the client's invite, so either side can adjust and the other stays matched.

Why is this better than a quick DM?

Because the DM costs you time twice: once to read it and once to find a slot. Self-rescheduling also removes the back-and-forth where the client proposes three times that are all busy.

Rescheduled bookings still appear against the client's contact in Viralyze, with the source tag from the original reel or keyword, and WhatsApp reminders are sent for the new time.

Frequently asked questions

**Can a client reschedule more than once?** Yes, as long as each change happens inside the window you set.

**What if the client wants a time I do not have?** They see only your free slots; anything else means a message to you, which is the right place for exceptions.

**Does rescheduling change the price?** No. The booking keeps its original services, add-ons and payment; only the time moves.
