How to Invite Clients to the Calendar Event Automatically

19 October 2026

A client who has the session in their own calendar is far more likely to turn up. Manually creating an event, adding their email and pasting a Meet link is the sort of five-minute task that gets skipped when you are busy. Viralyze removes the task: when someone books through your link, the event is created in your Google Calendar with the client invited as a guest.

Below is how the invitation works, what the client actually receives, and how to pair it with reminders so fewer sessions are missed.

What does the client receive when they book?

They receive a Google Calendar invitation for the exact slot, plus a confirmation page they can return to. For online formats the event carries a Google Meet link, so there is no separate "here is the link" message to send.

The confirmation page lets them add the booking to a calendar of their choice, reschedule, or cancel if you have allowed cancellations. A WhatsApp reminder goes out before the session as well.

How do I set this up so it happens automatically?

Connect Google Calendar once and choose the formats for your services; after that each booking invites the client without you touching it. The setup:

1. In the Viralyze app, open Bookings and connect your Google account on Google's sign-in screen. 2. Pick the destination calendar where bookings should be created. 3. For each service, set the format: Google Meet, phone, WhatsApp call, or in person. Meet links are generated for Google Meet sessions. 4. Decide your cancellation policy: whether clients may cancel themselves and until when, for instance up to 12 hours before. 5. Turn on payment upfront if you want the slot held by a UPI or card payment. 6. Share your shre.pro booking link in your bio or by Auto-DM.

From this point, a booking at 4 PM on Friday becomes a 4 PM Friday event in your calendar with the client as a guest.

A concrete example: an astrologer taking consultations

Suppose Meera offers a 30-minute birth-chart reading on Google Meet for ₹1,500. A follower comments "READING" on her reel, receives her booking link by DM, picks Tuesday at 6 PM and pays by UPI.

Within moments, three things exist: an event in Meera's "Consultations" calendar titled with the client's name, a Meet link inside that event, and an invitation in the client's inbox. On Tuesday the client opens the invite and joins. Meera did not type a single message.

Why does an invitation reduce no-shows?

Because the session now lives where the client already looks every day. A booking that exists only in your records is easy for them to forget; one sitting in their phone's calendar sends them Google's own notification.

Add the WhatsApp reminder on top and the client has two independent prompts. If plans change they can reschedule through the confirmation page, which moves the calendar event for both of you instead of producing a cancelled slot you find out about too late.

What if the client books in person or by phone?

The invitation still goes out, just without a Meet link. An in-person service creates the event with the slot and the client as a guest, so they still get the reminder and the calendar entry; a phone or WhatsApp call format does the same.

The difference is only in what is inside the event. Your menu can mix formats, so a salon can run in-person appointments while a consultant on the same account runs Meet sessions, and each client is invited the right way.

Frequently asked questions

**Does the client need a Gmail address to be invited?** No. The invitation is sent to whatever email they give at booking, and the confirmation page offers an add-to-calendar option that works with other calendar apps.

**Can I add my own notes to the event after it is created?** Yes. The event is an ordinary Google Calendar event in your destination calendar, so you can edit the description or add attachments as you would with any event.

**What happens to the invitation if the client cancels?** If you allow self-cancellation and they cancel in time, the event is removed from both calendars and any upfront payment is refunded automatically.
