How to Build a Creator CRM From DMs, Links and Bookings

19 October 2026

A creator CRM is just a contacts list where every entry says who the person is, where they came from and what they did. You do not need sales software; you need your DMs, links and bookings to write into the same list. The Viralyze app does this automatically: every Auto-DM conversation, every email from a lead magnet, every link sign-up and every booking becomes a contact with a source tag.

Here is how to make that list useful, and what to do with it each month.

What should a creator CRM record?

Four things per person: how they found you, what they asked for, whether they paid, and when. That is enough to decide who to message before a launch.

In practice the sources are:

  • DM leads: people who commented a keyword and received an Auto-DM. The contact carries the originating comment.
  • Email leads: people who downloaded a lead magnet and entered an address.
  • Link sign-ups: people who signed up through a smart link.
  • Bookings: clients who booked and paid for a session, with the service they picked.

Viralyze keeps all four in one contacts list, and every conversation from the Inbox becomes a contact too.

How do I set it up so nothing falls through?

1. Put a keyword automation on every reel that offers something, so comment leads are captured rather than answered by hand and lost. 2. Make your freebies lead magnets with email collection on, so downloads come with an address. 3. Replace raw links in your bio with smart links, which track clicks and tie sign-ups to a contact. 4. Take bookings through the booking page, so each client is recorded with their service and payment. 5. Export to CSV at the end of each month and keep the file.

The list grows on its own after that. No per-contact pricing applies, so a large list costs the same as a small one.

A worked example: a monthly review

A Bengaluru career coach exports her contacts on the first of each month. Last month's file had three groups once she filtered by source tag:

  • 310 people who commented "CV" and got the free checklist by DM.
  • 95 who entered an email for the "Interview answer bank" lead magnet.
  • 18 who booked and paid for a ₹999 CV review.

Her decision: the 95 email leads get a short message about the ₹2,499 LinkedIn course, since they already traded an email. The 18 clients get a follow-up offer for a second session. The 310 DM-only leads get nothing directly; her next reel will reach them. Three segments, three actions, twenty minutes.

Can I see how a lead moved from comment to customer?

Yes, per automation. The funnel in Viralyze shows comments, matched, delivered, clicked and signed up, and the home screen shows revenue over 7, 30 or 90 days. Together with the contacts list, you can trace a person from the keyword they typed to the booking they paid for.

That is the part most creators never see, because the comment lived in Instagram, the email lived in a form tool, and the booking lived in a calendar app.

Who owns the data in this list?

You do. Under India's DPDP Act, you are the data fiduciary for your audience data and Viralyze is the processor. Personal data is not sold, and you can export the full list to CSV whenever you want to move or back it up.

Keep it tidy: message people about things related to what they asked for, and make it easy to opt out.

Frequently asked questions

**Do I need a separate CRM tool as well?** Not for most creators. The contacts list with source tags and CSV export covers segmenting and follow-up. Import the CSV into a newsletter tool if you email at scale.

**Does a person appear twice if they comment and then book?** They are one contact with more than one action recorded, which is exactly what you want to see.

**Can my assistant manage the list?** The Inbox and contacts are in the app, so anyone with access to your Viralyze account can work the list and reply within the 24-hour window.
