How a Booking Lands in Google Calendar With a Meet Link
A lot of creators still run online sessions by creating a Meet link on the day and pasting it into WhatsApp. It works until the morning you forget. The better arrangement is that the booking itself creates the calendar event, the event contains the Meet link, and the client is already invited. Viralyze does this the moment a booking is paid.
Here is the exact sequence, what you need to configure, and how changes on either side stay in step.
What happens in the seconds after a booking?
Four things, in order: the payment confirms, an event is created in your destination calendar, a Google Meet link is attached to that event, and the client is added as a guest so they receive the invitation.
You see the event appear in Google Calendar with the client's name. The client sees an invitation in their inbox and, on the confirmation page, an add-to-calendar option plus reschedule and cancel if you allow them.
How do I set up Meet links for bookings?
Connect Google Calendar and set the service format to Google Meet. Here is the whole process in the Viralyze app:
1. Open Bookings and connect your Google account on Google's own sign-in screen. 2. Choose which calendars block your slots and which single calendar receives bookings. 3. Add a service and set its format to Google Meet. Services set to phone, WhatsApp call or in person will not get a Meet link, by design. 4. Add buffers and days off so the slots offered are ones you can actually take. 5. Switch on upfront payment by UPI or card if you want the slot held by payment. 6. Share your shre.pro link in your bio or by Auto-DM.
There is nothing to do per booking after this.
A concrete example: a language tutor
Nisha teaches spoken French in 45-minute sessions on Google Meet at ₹900. A follower comments "FRENCH" on her reel, receives the booking link by DM, picks Wednesday 5 PM and pays by UPI.
Her "Tutoring" calendar now shows "French session, [student name], Wed 5:00 to 5:45 PM" with a Meet link in the event. The student's own calendar shows the same event in their time zone. On Wednesday both of them tap the link from their calendars. Nisha's contacts list in Viralyze records the student with the reel as the source.
What if either side changes the booking?
The change is reflected on both sides because the sync is two-way. If the student reschedules from the confirmation page, the event moves in Nisha's calendar and the Meet link moves with it.
If Nisha drags the event to a new time in Google Calendar, the booking updates too. If a permitted cancellation happens, the event is removed and the refund goes back automatically. Nobody has to send a "new link for tomorrow" message.
Does a Meet link work for clients outside India?
Yes. Google Meet is the same everywhere, and the invitation shows the time in the client's local zone. International clients pay by card and join from the same invite.
A WhatsApp reminder goes out before the session as well, so a client who lives in their chat app rather than their calendar still gets a nudge. For most creators this combination of calendar invite plus reminder is enough to keep no-shows low without any manual chasing.
Frequently asked questions
**Do I need Google Workspace, or does a free Gmail account work?** A standard Google account works; the Meet link is generated for the calendar event in whichever Google account you connect.
**Can I use my own fixed Meet room instead of a new link per booking?** The booking creates a Meet link inside the event automatically; if you prefer a fixed room, put that link in the service description and set the format to Google Meet anyway so the calendar invite still goes out.
**What if I run both in-person and Meet sessions?** Set the format per service. In-person services create the calendar event and invite the client without a Meet link, while Meet services include one.
